Google Workspace vs Microsoft 365: which fits your business?
Compare business email, shared files, desktop apps, AI connections and migration. A practical guide to choosing a setup that fits the way your team works.

Google Workspace is worth considering if your team is comfortable in Gmail and prefers sharing documents in a browser. Microsoft 365 is worth considering if desktop Outlook, Word or Excel are important to the working day. Both can provide business email, shared files and tools for working together. The better choice depends on the work you need to keep doing, the plan you buy and how the setup is managed.
Before comparing subscriptions, take one ordinary task: replying to a customer, preparing a quote or updating a shared spreadsheet. Work through it with the people who do it. That tells you more than choosing whichever product has the longer feature list.
Start with how your team actually works
Ask a few people to show you their daily routine. Where do they find customer messages? Which files do they open? Does someone send attachments around because nobody knows where the latest version lives?
A small team writing proposals together may value a straightforward way to edit the same document. A finance team may depend on an Excel workbook with macros, an add-in or a particular export from its accounting system. Neither team should have to discover a compatibility problem after moving.
- List the applications and file types people rely on, including specialist add-ins.
- Check shared addresses such as accounts@ and sales@, rather than counting staff mailboxes alone.
- Include phone access, work away from the office and unreliable internet in the brief.
- Identify who handles new starters, lost devices, access changes and renewals.
This is also a useful moment to check what you already pay for. A new subscription can duplicate desktop software or storage you intend to keep.
When Google Workspace is a good fit
Google Workspace brings Gmail, Calendar, Drive, Docs, Sheets, Slides and Meet into a business setup. It can suit a team that already prefers Gmail and wants to work together through shared links and browser-based documents. Business email on your own domain requires the appropriate domain-verified setup; signing in to a Google service with your work address is not the same thing as moving your mailbox.
Check the selected edition for the storage, meeting, administration and AI features you need. Google's Business edition guidance explains the differences. Buying a more expensive edition is useful only when its additional features solve a requirement you have identified.
For example, try writing a real proposal with two colleagues, sharing it with a client and finding it again a week later. If that feels natural, the collaboration approach may fit. Then test any existing Office files that must retain their formulas, formatting or behaviour.
When Microsoft 365 is a good fit
Microsoft 365 is worth a close look when your team already works in Outlook, Word and Excel, or depends on software that connects to Microsoft services. The suitable business plan can combine hosted email with document tools and shared storage.
Pay attention to the distinction between web applications and installed desktop applications. Microsoft's Outlook licensing guidance explains that Business Basic provides web and mobile tools, while Business Standard and Business Premium include desktop applications. Do not assume that every product carrying the Microsoft 365 name includes hosted business email and every desktop app.
Security and device administration also vary by plan. Microsoft's business suite licensing overview shows additional services in Business Premium, including device management. Those tools still need an agreed configuration and someone responsible for using them.
If an important workbook, shared mailbox or line-of-business application is the reason for choosing Microsoft 365, test that exact item in the proposed setup. Familiar branding is not a substitute for checking the dependency.
Decide who owns shared files
A folder called “Company files” is not necessarily controlled by the company. It may sit inside one employee's account, with everyone else relying on a link.
In Google Workspace, shared drives keep files owned by the organisation, so the files remain when the person who created them leaves. Availability and sharing controls depend on the edition and configuration.
Microsoft explains the different roles of OneDrive, SharePoint and Teams: personal work files and team-owned documents need appropriate locations and permissions. A shared library can be a better home for business records than one person's private folder.
Whichever platform you choose, agree where signed documents, customer records and working drafts belong. Test access for a colleague and an external recipient. Decide how access is removed when a project ends or a person leaves, and what recovery or separate backup arrangements the business needs.
Which works better with ChatGPT or Claude?
Both ecosystems offer routes into AI tools, but the connection must match the actual mailbox and account. Start with the task: finding unanswered messages, preparing a reply or gathering the background for a meeting. Then check whether the intended tool supports it on the plan you will use.
OpenAI's inbox guidance describes Gmail and Outlook Email connections in ChatGPT Work, including reply drafts and scheduled checks. Available actions depend on the connection, plan and workspace settings. A scheduling example in one product does not establish that every email connector can run unattended.
Claude documents Google Workspace connections and a separate Microsoft 365 connection. Its Microsoft connection requires a work account in a Microsoft Entra tenant and administrator consent; a personal Outlook.com account does not qualify for that connector.
Gemini features within Google Workspace and Copilot features within Microsoft products are another part of the comparison. Their inclusion, limits and permissions need checking against the selected subscription. They are not the same purchase as an independent ChatGPT or Claude account.
Our guide to connecting business email to ChatGPT or Claude goes further into IMAP and POP mail, useful workflows, privacy and approval rules. It also explains why opening a cPanel mailbox in the Outlook app does not turn it into a Microsoft 365 mailbox.
Check what a migration will actually move
Keeping your address, transferring old messages and setting up a phone are different parts of a move. Add calendars, contacts, shared addresses, file permissions and local archives to the checklist before agreeing the job.
Google's data import guidance separates mail, calendars, files and other sources. Microsoft's mail migration guidance explains that IMAP moves email folders, rather than contacts, calendar items or tasks. The right method depends on where the information lives now.
Old POP email deserves particular attention. Some messages or sent items may exist only on a person's computer. Find and protect those archives before retiring the old service. The same care applies to contact lists and calendars stored locally.
Ask for a representative mailbox test, an agreed changeover window and a recovery plan. Confirm how domain records, staff devices and services that send website or application mail will be checked. Do not cancel the old provider until the agreed checks and retention arrangements are complete.
Compare the full cost of using the setup
The monthly mailbox price is only part of the decision. Ask for the complete arrangement in writing:
- The exact products and licences, who needs each one, and the billing commitment.
- Any AI subscription, usage charge or separately built integration.
- Migration, device setup, staff handover and any data that will stay in an archive.
- Support, domain renewals, retention and backup where included.
- VAT, currency, renewal terms and what happens if you add or remove people.
A lower subscription price may be a poor saving if the move breaks a critical spreadsheet or leaves the team needing another application. Equally, desktop apps or advanced administration tools may be unnecessary for people whose work fits a simpler plan.

A real example: email is part of the wider setup
MTE Xpress has worked with Cloudfusion since the business began. The original work included its domain, hosting, business email and Microsoft 365 licences. Continuing support and Cloudflare DNS work formed part of that relationship as requirements changed.
The lesson is to consider the connected setup and the people maintaining it. The mailbox is one part of keeping the business working. The case also includes a later Sage invoice integration, which is separate delivered work. It is not evidence of a ChatGPT or Claude email deployment.
Try one real working day before moving everyone
Choose a representative person and a short set of tasks. Send and receive mail, accept a meeting invitation, open an important file, share it with the right people and use the phone setup. If AI is part of the brief, test one agreed task with appropriate permission and review the result.
Include something that can go wrong: a file the person should not access, an ambiguous customer request or a message that needs human judgement. A useful trial shows the limits as well as the successful path.
Then decide whether to improve the current setup or move. A platform change should solve a known problem, with a clear handover and support arrangement afterwards.
Common questions
Can we keep our current email address?
Usually, if you control the domain and the destination service supports the setup. Moving mail, changing DNS and transferring domain registration are separate decisions. Confirm address retention and old-message migration explicitly.
Do we need to upgrade just to use AI?
Not necessarily. Check your existing account and the exact connector first. A supported personal Gmail connection, a managed business mailbox and a custom IMAP integration have different requirements. Choose the route for the job and the business's permission needs.
Which is cheaper for a small team?
Compare the selected plans and the complete setup cost for your team. Include required applications, storage, AI access, migration, support and billing terms. A headline per-user price does not establish which arrangement will cost your business less.
Get help choosing and setting it up
Cloudfusion's business email and technology service covers assessment, agreed setup or migration, testing and handover. Tell us your current provider, approximate team size and the task you want to improve. Do not include passwords or recovery codes.
If the goal also involves moving information into a CRM, accounting system or another application, we can review that through our systems integration and automation service. A built-in email connection and a custom workflow need different scopes.
